EDS Chapter Subsidy Program

EDS offers its chapters an annual subsidy program to support activities such as: the organization of technical meetings (conferences, symposia, workshops, etc.); coverage of local expenses for distinguished lecturers; payment of chapter meeting promotion and administration expenses; subsidizing the payment of IEEE and EDS memberships and subscriptions for chapter members; and support for student activities.

For 2008, the EDS Administrative Committee (AdCom) granted funding requests for 66 chapters, with most amounts ranging from US $250 to US $1,000. Some IEEE Sections also provide funding support for their chapters. It would be a good idea to contact your Section concerning this matter.

The Guidelines for Chapters Seeking Subsidies has been included below to help EDS Chapter Chairs define what activities/programs qualify for subsidy funding. If you would like further information on this program, please contact the EDS Executive Office.

Guidelines for Chapters Seeking Subsidies

  1. Subsidy to a chapter requesting support is issued no more than once a year and is not automatically renewed for subsequent years.
  2. A chapter desiring a subsidy for the upcoming year must submit a written request to the Society's AdCom prior to September 1.  The request can be in the form of a letter and should be addressed to the EDS Executive Office.
  3. The request should contain a brief description of activities for which the funds will be allocated, the existing and previous sources of funding for such activities, a budget including the specific amount requested from EDS, and the anticipated benefits for the chapter, EDS and IEEE.

Important!        Prior to the submission of the subsidy request, the Chapter Chair must submit a chapter activity to his/her respective SRC Chair with a copy to the EDS Executive Office by July 1. This report should include a general summary of chapter activities (one or two pages) for the prior July 1st - June 30th period, along with their membership counts for the past five years.

  1. Activities which are considered fundable include, but are not limited to, membership promotion, travel allowances for invited speakers to chapter events and support for student activities at local institutions.
  2. The amount of each subsidy depends on the nature and frequency of activities to be supported, but in general, does not exceed $1,000 for chapters sponsored by EDS only and $500 for chapters jointly sponsored by EDS and another IEEE society(ies).

Note:  EDS will again be offering additional funding for all EDS Chapters ($500 additional for EDS only chapters/$250 additional for joint EDS chapters.  This would make the maximum funding amount for each EDS chapter to be $1,500 for chapters sponsored by EDS only and $750 for chapters jointly sponsored by EDS and another IEEE society(ies).  Your funding request would need to include the additional reasons for this extra funding.

  1. Each request is reviewed by the SRC Chair/Vice Chair and EDS Vice President of Regions/Chapters.
  2. Final decisions concerning chapter subsidies will be made by the EDS SRC Chairs/Vice-Chairs by December. At that time, all requesting chapters will be notified of the results by the Executive Office. Subsidy checks and wire transfers will be issued by late January.
  3. At the end of each funding cycle, a letter-report on the supported activities should be submitted to the EDS Executive Office Administrator. If another subsidy is desired the following year, the new request can be combined with the report.
