REMINDER - ANNUAL REPORTING REQUIREMENTS

In order to maintain viability and to ensure that all geographic units are meeting the needs of their members, each unit is required to submit annual reports for the following items:

  • Meeting activity - The minimum meeting requirements are 5 meetings for Sections and Subsections; 2 technical meetings for Chapters; 2 meetings for Affinity Groups. This information can be submitted online via the electronic L31 meeting report form
  • Current officers - Please use the online officer report form to report your new officers within your geographic unit via the online reporting form.
  • Financial activity - Each Region, Section and Geographic Council Treasurer is responsible for submitting both the bank account disclosure form and the 2008 financial report for their unit and any subunits (Subsection, Chapters and/or Affinity Groups) to IEEE as soon as possible, but not later than 31 March 2009. The 2009 Geographic Unit Financial Report and instructions are available online.

Rebates are paid based on the Section's eligibility, as determined in part by reporting and upon approval of all submitted reports. The Section Secretary and Treasurer or Secretary/Treasurer should verify that all required reports are submitted. Unless these reports, including all Subsection, Chapter and Affinity Group meeting activity reports, are received by 31 March 2009, the Section (or Geographic Council) may not receive the current annual rebate payment. NEW OFFICERS MATERIAL

If you are a new or continuing Section officer you should view the material available from IEEE Sections Congress this material will provide you with guidance on how you can engage the member and promote IEEE locally.

  • Core Track Training Material - The Core Training presentations explained the impetus for the MGA transition and provided a view of what MGA success looks like. MGA is about putting members first and at the center of IEEE. The guiding principles summarize it all: IEEE is the member and the member is IEEE. The MGA Board is a complete change from RAB and a shift in focus to the member. Sections are part of an organization focused solely on the member and designed to inspire members' participation in IEEE. The stage has been set for MGA to be the primary touch point for IEEE members, engaging them throughout their careers and providing them with what they need, when they need it, to be successful in their profession. Section Chairs are called to help support IEEE and act as the key point of contact for their members.
  • Membership Breakout Sessions - The growth and nurturing of our 375,000+ members is a core value of IEEE. The material presented in this track focuses on how a member's relationship with IEEE can be enhanced through local engagement. Training on the benefits of IEEE membership, how to communicate and apply these benefits to the needs of members in their local area is provided. Material presented also includes best practices for using the IEEE Membership Development tools, staff and volunteer network. Leveraging these resources will lead to significantly increased retention, recruitment and recovery of members at the local Section level.
  • Section/Chapter Activities Breakout Sessions - The success of IEEE depends on the continued cooperation between geographic units at the local level. This material presented in this track focuses on how to promote and facilitate the delivery of technical, professional and educational material. Issues covered include a broad range of topics such as learning how to leverage Standards; acknowledging contributions of members through awards and recognition; learning about new humanitarian projects supported by IEEE and its members; and working with students and student branches. Activities your Section can undertake to enhance its image and support IEEE are also discussed.
  • Section Management Breakout Sessions - Running a successful Section requires having the tools and support to do the job. The material presented in this track provides information on obtaining support and resources from the IEEE organization and best practices to follow. Several sessions addressed how to manage activities such as finances, conferences and affinity groups. Effective practices for planning successful meetings, volunteer recruitment and leadership development have also been covered. New tools (vTools) for supporting the volunteer administrative responsibilities were also introduced.

RECOMMENDATIONS FOR OFFICERS AND STANDING COMMITTEE MEMBERS - IEEE AND MGA POSITIONS

The IEEE Nominations and Appointments (N&A) and the MGA Nominations and Appointments Committee are seeking recommendations for several positions including IEEE standing committee chairs and members, IEEE Corporate officers and MGA Officers. Self-nominations are encouraged since an individual does not need to be nominated by a colleague in order to be considered.

Each position has specific job requirements and qualifications on which the Committees evaluate potential candidates. For more information visit the IEEE N&A Web site and the IEEE MGA N&A Committee web site.

CALL FOR GRANT APPLICATIONS - IEEE FOUNDATION/IEEE LIFE MEMBERS FUND

The IEEE Foundation cultivates relationships and resources to advance IEEE's core purpose to foster technological innovation and excellence for the benefit of humanity. To fulfill its role, the IEEE Foundation awards grants to new and innovative projects and administers more than 130 funds that support a variety of educational, humanitarian, historical preservation, and peer recognition programs of IEEE units.

The IEEE Life Members Committee seeks to support programs that promote engineering to the pre-college community, the professional development of Young Electrical/Computer Engineers, the History of Electrical/Computer Engineering and the interest of Life Members.

Grant applications for new and innovative projects are accepted three times per year. The next two 2009 deadlines are 24 April and 11 Sept. Grant applications can be submitted online.

The IEEE Foundation/Life Members Committee considers projects that:

  • benefit humanity through the use of technology;
  • improve primary and secondary math and science learning;
  • increase active interest in engineering and science;
  • preserve the history of IEEE associated technologies;
  • tap the technological expertise of IEEE members;
  • demonstrate ability to be duplicated.

IEEE CELEBRATES 125 YEARS OF ENGINEERING THE FUTURE IN 2009

The start of 2009 marked the official kickoff of IEEE's 125th Anniversary celebration. IEEE is commemorating this milestone with a variety of activities surrounding the theme of Celebrating 125 Years of Engineering the Future. The official 125th anniversary mark is already visible on ieee.org, and is being used on IEEE publication covers and other materials throughout the year. The latest anniversary information is available on www.ieee125.org.

Major anniversary events include the first IEEE Presidents' Change the World Competition for college and university students worldwide; a global media roundtable and webcast addressing emerging, world changing technologies on 10 March in New York City; Engineering the Future Day on 13 May and a series of celebrations in major world cities throughout the year:

27 April - Munich, Germany

30 April - Austin, Texas

11 May - Boston, Mass.

8 June - Beijing, China

29/30 August - Bangalore, India

6 October - London, England

30 October - Tokyo, Japan

TBD - San Jose, Calif.

Volunteers are asked to encourage their OUs and IEEE members to plan their own local events and celebrations. All 125th events should be posted to the calendar on the IEEE 125th Anniversary Web site.

IEEE VISUAL IDENTITY GUIDELINES NOW AVAILABLE

IEEE Corporate Strategy and Communications and IEEE Marketing Services have released new IEEE visual identity guidelines that explain the basic usage rules for all corporate identity elements and how to utilize them to create powerful and consistent communications pieces. The guidelines are an extension of the IEEE Identity Standards and explain in more detail the proper use of the IEEE Master Brand in a variety of print and Web-based applications.

The new visual Identity guidelines introduce a primary and expanded color palette for all corporate-wide communications. There is a slight change in the "IEEE blue," which was chosen for its reliability in various printing process and its similarity to the previous "reflex" blue.

The full document can be found on the newly updated IEEE Identity Guidelines Web page at http://www.ieee.org/web/publications/rights/idstandards.html. This page also includes a reminder about only using the letters IEEE when referring to the organization, and not the full name.

As part of the release of the visual identity guidelines, an online toolkit is being developed so all relevant branding and IEEE positioning information will be in one central location. Phase one of the online toolkit is set to launch in the first quarter of 2009.

REMINDER - NOMINATIONS FOR IEEE FELLOW GRADE

If you are considering nominating a colleague from industry, government, or academia for elevation to IEEE Fellow grade, the opportunity to do so is at hand. This prestigious group now numbers 6000 out of IEEE's total of 375,000 members. Eligible Senior members can be nominated in one of four categories: research engineer/scientist, educator, technical leader or application engineer/practitioner. The nomination period is open at present and will continue through 01 March, 2009 for the Class of 2010. Nominee eligibility requirements, nomination instructions and forms may be found on the Fellow web site at http://www.ieee.org/fellows and the IEEE Fellow Activities Staff is ready, willing and able to assist you in all phases of the process. CALL FOR NOMINATIONS - IEEE EDUCATIONAL ACTIVITIES BOARD AWARDS

The IEEE Educational Activities Board (EAB) is once again seeking nominations to recognize and honor individuals, companies and IEEE Society/Council for their contributions to engineering and technical education. The deadline for the 2009 nominations is 30 April 2009. There are eight (8) awards open for nominations. They are:

  • IEEE EAB Meritorious Achievement Award in Accreditation Activities - for efforts that foster the maintenance and improvement of education through the accreditation process.
  • IEEE EAB Meritorious Achievement Award in Continuing Education - for contributions to the design, delivery, and support of continuing education courses and programs in the IEEE fields of interest.
  • IEEE EAB Meritorious Achievement Award in Informal Education - for IEEE members who volunteer their time in public educational settings such as museums, parks, zoos, and aquariums and serve as librarians, docents, tour guides, curators, board members or technical advisors. This award recognizes their impact on teachers, students and the public.
  • IEEE EAB Major Educational Innovation Award - for outstanding educational innovations that have had a major impact and have been emulated by others.
  • IEEE EAB Pre-University Educator Award - for current pre-university classroom teachers who have inspired an appreciation of mathematics, science, and technology, and the engineering process. Pre-university teachers who have encouraged students to pursue technical careers are also recognized through this award.
  • IEEE EAB Meritorious Service Citation - for IEEE volunteers who are past members of EAB or current or past members of EAB Committees (other than currently serving on ARC) for outstanding and sustained service to the aims and objectives of the Educational Activities Board.
  • IEEE EAB Employer Professional Development Award - for organizations employing IEEE members and their contributions to their employees' continuing education and professional development.
  • Society/Council Professional Development Award -for IEEE Societies or Councils for major contributions to the professional development of its members through the outstanding products, services and support in the areas of life-long learning, continuing education and professional development.

MESSAGE FOR CONFERENCE ORGANIZERS

Visa Waiver Program

Beginning 12 January 2009, all nationals and citizens of Visa Waiver Program (VWP) countries who plan to travel to the U.S. for temporary business or pleasure for 90 days or less will be required by law to obtain travel authorization prior to initiating travel to the United States. This authorization can be obtained online through the Electronic System for Travel Authorization (ESTA), a free Internet application administered by the U.S. Department of Homeland security.

Travelers from countries not in the VWP are still required to obtain a Visa upon entry into the United States.

Alert: Fraudulent Paper Submissions

IEEE has become aware of conferences receiving fraudulent, machine-generated paper submissions. On two separate occasions, conference committees accepted a fraudulent paper for publication. In another case, a fraudulent reviewer was included in the technical paper review process. These are serious issues that threaten the credibility of IEEE Conferences and the integrity of the digital library

In response to this unethical practice, IEEE Volunteer leadership has made the following decision: in instances where fraudulent papers or reviewers are found, IEEE will temporarily suspend conference sponsorship. If a conference sponsorship is suspended, all references to IEEE must be removed from all forms of publicity and authors must be notified. Reinstatement of sponsorship will be dependent on proof a method is in place to prevent additional instances of fraud. If sufficient proof is not provided, event conference papers will not be accepted in Xplore.

To ensure the quality of your conference proceedings:

  • Comply with your peer review processes and adapt to any new requirements that may be communicated by IEEE
  • Review the full text of all papers submitted and accepted to your conference; do not rely on abstracts only
  • Contact IEEE Conference Business Services immediately if you discover any evidence of questionable content or behavior.
