REMINDER - ANNUAL REPORTING REQUIREMENTS

In order to maintain viability and to ensure that all geographic units are meeting the needs of their members, each unit is required to submit annual reports for the following items:

  • Meeting activity – The minimum meeting requirements are 5 meetings for Sections and Subsections; 2 technical meetings for Chapters; 2 meetings for Affinity Groups. This information can be submitted online via the electronic L31 meeting report form
  • Current officers – Please use the online officer report form to report your new officers within your geographic unit via the online reporting form by 20 February 2009 in order to make sure that your unit qualifies for the 10% rebate bonus.

  • Financial activity – Each Region, Section and Geographic Council Treasurer is responsible for submitting both the bank account disclosure form and the 2008 financial report for their unit and any subunits (Subsection, Chapters and/or Affinity Groups) to IEEE as soon as possible, but not later than the dates noted below.
    • 31 January 2009 – Submission of the Bank Account Disclosure Form
    • 20 February 2009 – Submission of the 2008 Geographic Unit Financial Report (in order to qualify for 10% rebate bonus)
    • 31 March 2009 - Submission of the 2008 Geographic Unit Financial Report in order to received the rebate.

2008 MGA AWARD RECIPIENTS

At its 15 November 2008 meeting, the IEEE Member and Geographic Activities Board selected the following 2008 MGA Award recipients.

  • MGA Innovation Award   (Joint recipients)
    • Mini S. Thomas (Delhi Section),  Prijoe P. Komattu (Madras Section) and S. Gopakumar (Kerala Section)  - “For their inspirational development of the Global Integrated Network of IEEE (GINI) which will provide increased value of IEEE membership to the students of Region 10.”
  • MGA Larry K. Wilson Transnational Award
    • Marcelo Mota, (Toronto Section) “For 20 years of IEEE volunteerism, and significant contributions to the development and promotion of global activities and services to IEEE members.”

BE AWARE OF CHECK FRAUD SCHEMES

Geographic Unit Treasurers should be aware that various check fraud schemes exist, and with the current financial crisis impacting the economy, fraudulent activity is on the rise.  IEEE staff has been made aware that in some instances these fraudulent checks display the IEEE name and/or logo, the Operations Center address and even an IEEE Corporate account number. Security measures are in place with IEEE's bank to ensure that IEEE accounts (including Concentration Banking Program accounts) are not in jeopardy, and should a fraudulent check be presented for payment against the accounts, it will be recognized as invalid and fraudulent, and payment denied.

In order to protect IEEE’s bank accounts and funds, it is strongly recommended that all bank statements/activity for local accounts maintained by IEEE Geographic Units or Conferences be reconciled in a timely manner, which is generally 30 days from receipt of the bank statement or its availability on-line. Failure to do so may result in the bank’s refusal to reimburse the account for the fraudulent activity.

GEOGRAPHIC UNIT RECOGNITION PRODUCTS

There is no doubt that each IEEE Geographic Unit (Section, Subsection, Council, Chapter and Affinity Group) has dedicated volunteers who are deserving of recognition of their contributions. The Member and Geographic Activities department has several items - plaques, officer lapel pins, certificates - that can be ordered for presentation to these volunteers. Each item has the IEEE master brand and the certificates have an embossed IEEE seal. The certificates can be customized with the text of your choosing, or may be ordered blank for completion locally.

Additionally, IEEE banners are available for display at conferences or other appropriate IEEE geographic unit events. The blue nylon banners, with white lettering and the IEEE master brand are available in two sizes. The larger banner - 3 feet by 5 feet - can be customized with your unit title. The smaller banner measures 18 inches by 24 inches.

REMINDER: USE IEEE 125TH ANNIVERSARY MARK THROUGHOUT 2009

A special anniversary mark has been developed to commemorate IEEE’s 125th anniversary in 2009. All materials being created for 2009 should incorporate the 125th logo in lieu of the standard IEEE Master Brand .Possibilities include, but are not limited to, publications, conference materials, sales collateral, membership materials and any other printed or electronic materials. Web sites should also carry the anniversary mark in 2009. Download the 125th anniversary mark or read about mark usage guidelines.

All volunteers are encouraged to help make the anniversary celebration a success by encouraging development of and participation in online and local 125th activities. Stay up to date on anniversary plans, list your event on the anniversary calendar, or post a message, photo or video at the anniversary Web site.

IEEE HONORS 2009 CLASS OF FELLOWS

The IEEE recently announced its class of 2009 Fellows, which consists of members from around the world who have demonstrated an "extraordinary record of accomplishments in any of the IEEE fields of interest." They join a group of thousands of other IEEE distinguished Fellows who have contributed to the advancement or application of engineering, science and technology. The IEEE Board of Directors awards the honor of Fellow to no more than 0.1 percent of the voting membership as of 31 December of the preceding year.   • National Societies in your country - IEEE Section leaders in Regions 7-10 are encouraged to work together with National Societies in their respective country.
