IEEE Web Conferencing (IWC) currently offers the service levels detailed below. Fees will be charged to the account number supplied at time of request and will appear on monthly departmental financial statements. Services and Fees detailed below apply to IWC's Preferred Products (Office Live Meeting, and Adobe Acrobat Connect Pro). Fees and services for Recommended Products (WebEx, Genesys Meeting Center, & PresenterNet.com) vary by provider. I. Managed Service: Standard

Ideal for occasional meetings that generally require 15 connections or less. To avoid overage penalties, be sure to inform your Web Conference Administrator if you anticipate a need for more than 15 connections. The Web Conferencing Administrator will make all on-line meeting arrangements including:

  • Online conference room build
  • Scheduling/capacity management
  • Initial conference setup
  • Creation of Presenter and Attendee invitations
  • Teleconferencing management including: account setup, user permissions, and billing
  • Audio Management (e.g., Integration in conference center, teleconferencing, voip, or combined)
  • Distribution of Access information and instructions
  • Initial consultation on use of conferencing products
  • 1 complimentary tutorial
  • Billing oversight

Fee:  US$125.00 plus US$5.00 per connection per conference
Maximum Connections: 15
Overage Penalty: US$5.00 per connection (for unauthorized access in excess of 15 connections)
Extended Support (optional): US$125.00 per hr.

II. Managed Service: Event

A Web Conference Event is one containing 100 connections or more and requires extensive setup and support.

An online pre-registration service for managing attendance including; site build, confirmations & reminder notices, is optional. Events requiring more than 4 (four) hours of setup and/or support will be assessed the Extended Service fee of US$95.00 per hour for each additional hour of support.

Extended Support (optional): US$95.00 per hour

Extended Service Fee
An Extended Service Fee of US$125.00 per hr. is assessed for Administrator support provided in addition to that included with the Standard and Self Service options. A fee of US$95.00 per hour is assessed for services in excess of those included with the Event option (e.g., additional consultation, logistics management, technical support, coaching; individualized training, additional tutorials, operator assisted calls, recording management, remote or onsite support, and facility and equipment management).

III. Self-Service Owner Account
This monthly subscription service gives you the ability to fully manage all of your group's conferencing activity. Administrator privileges allow you full control to create, configure, and manage up to 5 meetings rooms, schedule meetings, or launch instant meetings. With an Owner Account you assume full responsibility for managing your conferencing activity including but not limited to managing options for audio and multi-media.With the exception of paid start-up consultation services, IEEE Web Conferencing support is not available. A six-month minimum commitment is required. Limited to one account per group. Additional rooms available at US$100.00 per month.

IV. E-Z Conferencing
Allows a Host or Presenter to launch an online meeting at any time day or night 24/7/365 with up to 15 connections.  The Host or Presenter assumes primary responsibility for conducting the meeting, including the operation of all appropriate features within an online conference center. The Host or Presenter will be provided with contact information for product support. IEEE Web Conferencing support is available at the Extended Service rate of US$75.00 per hr.

Available for use with Microsoft Office Live Meeting only.

OTHER FEES

Cancellation Fees:

Conferences to which the Standard setup fee of US$100.00 applies will be assessed a US$50.00 cancellation fee provided that notification is received at least 48 hours prior to the scheduled start date.

Events cancelled at least 48 hrs. prior to the scheduled start date will be charged a US$150.00 cancellation fee.

Conferences that are not cancelled at least 48 hours in advance will be billed at the original applicable rate.

Audio Fees

Charges for dial-out teleconferencing or integrated audio may be assessed separately (depending on the product used), and billed to the requesting group directly. Please contact a Web Conferencing Specialist or visit IEEE Teleconferencing for additional information.

IEEE Web Conferencing aims to provide competitive, flexible, dynamic services and fees; and as such, retains the right to adjust published service offerings and fees at any time in response to market conditions and trends, customer feedback, etc.
