The information on this page explains for IEEE conference organizers how to produce a conference publication. Organizers typically need to deal with three major constituent groups: authors, production vendors and IEEE. This information is arranged by each of those groups. An FAQ section is also available.

 Download the PDF Specifications for IEEE Xplore® .  This document version 4.02 provides detailed information on the requirements for PDFs on IEEE Xplore®.  It also covers the requirements for submitting Acrobat 9 files. Updated 18 July 2008.

   Download PDF settings file that allows authors to automatically set Adobe Distiller to the IEEE PDF requirements. Settings for Acrobat 5 thru Acrobat 8 included. (Registration required to download ZIP file). Updated 2 February 2007.

   Download the "Requirements for IEEE Sponsoring Entities and Conference Organizers Submitting Extended Objects for IEEE Xplore®." The specification provides detailed information about support for multimedia or extended objects, how the files must be organized, and what support files are necessary. Submitting extended objects or multimedia files requires the additional downloading of the packing list generator. NEW 16 November 2006.

   View a sample manuscript for a representation of the layout authors should use when preparing their papers. (Adobe Acrobat Reader required)

   Usethe electronic IEEE Copyright Form (eCF) for your conference proceedings. The eCF simplifies the collection of copyright forms and has been designed to be used by IEEE volunteers who already have developed and are using an online manuscript-submission system. After submitting the registration form, you will be contacted by the IEEE IPR Office with information about how to provide access to the eCF for your authors. Visit the IEEE Intellectual Property Rights site to download a printable IEEE Copyright Form for your authors if you are not using an online manuscript-submission system or if you have other IEEE IPR-related questions.

   Get information on IEEE's position on International Traffic in Arms Regulation (ITAR).

  Review information on the IEEE compliance with the regulations of the United States Department of the Treasury's Office of Foreign Assets Control (OFAC).

   Ensure compliance with IEEE publishing policies.

     Visit the IEEE Conference & Custom Publishing site for information on the full range of IEEE services available to you when producing your conference publication.

   Read the Definition of Elements for Conference Proceedings to ensure that the files submitted to IEEE represent a complete conference publication. (Adobe Reader required).

   Download the parameters for PitStop software (Server or Professional) by Enfocus. This profile requires PitStop Server 3.51 or PitStop Professional 6.5. It checks that PDFs meet the relaxed IEEE Xplore® requirements as defined in "PDF Specification for IEEE Xplore®." (Registration required to download file). UPDATED 9 March 2007.

   Download the "Requirements for IEEE Sponsoring Entities and Conference Organizers Submitting Extended Objects for IEEE Xplore®."    Use the packing list generator application to avoid delays in posting material to IEEE Xplore®. This version supports 13 digit ISBNs and includes a Quick Start Guide. Other than creating and saving such a packing list with this packing list generator application, IEEE provides no tools to verify packing list correctness. (Note: The formatting specification for the packing list format is available to those who wish to develop their own program to create a packing list. This spec is most helpful to those who produce more than one conference title per year.) Updated 27 July 2007.

     Submit a completed IEEE Conference Publication Form to initiate the process of having your publication acquired by IEEE, which is the only way it can be made available via IEEE Xplore® and other distribution channels.

      Read an overview of cataloging and copyright instructions required to produce a conference proceedings.

     Understand the various components of the IEEE electronic file submission requirements (PDF requirements, packing list specification, etc.) by visiting the IEEE Conference Proceedings Electronic Submissions Standards site.
