Technical Program Development

The primary objective of the Program Committee (PC) is to ensure that a well-balanced, high-quality program is organized and presented at the conference. The primary duties are as follows:

  • Prepare the Call for Papers
  • Receive and track submitted papers
  • Review papers for presentation
  • Select papers to be presented
  • Organize sessions and selects session chairs
  • Completes Conference Program
  • Corresponds with authors on acceptance rejection
  • Determines content of authors kits, including page limits
  • Make room assignments with Local Arrangements Committee
  • Work with Publications Committee on Advance Program
  • Work with Publications Committee on Conference Proceedings
  • Provides instructions to speakers and session chairs
  • Work with Publicity Committee on key content of program for publicity
  • Work with Exhibits Committee to coordinate exhibits with program content
  • Provides last minute instructions to speakers and session chairs at Speakers' Breakfast

Paper/Tutorial Management

The Publications Committee is responsible for the production of all materials published in relation to the conference, including the selection of a replication vendor and the coordination of production logistics. Some duties include:

  • Conference Logo
  • Letterhead and Envelopes
  • Call for Papers
  • Advance Program
  • Conference Proceedings
  • Final Program
  • Session Signs
  • Luncheon and Banquet Menus
  • Committee Handbook
  • Billing
  • Final Report

Review Process

Submissions to IEEE conferences shall undergo a review process by independent referees who are knowledgeable in the pertinent subject area. 

Conferences held with non-IEEE organizations are encouraged to have a similar review process.

Submissions under review are to be treated as confidential.

Proceedings Production Process and Guidelines

The production process of the conference proceedings involves steps in addition to the actual replicating of the proceedings. Some of these steps include:

  • Preparation of papers
  • Production costs
  • IEEE required number assignments
    • IEEE catalog number
    • Library of congress number
    • ISBN
    • ISSN
  • Copyright requirements
  • Clearance of papers
  • Publication requests (outside organizations)
  • Book proposals from outside organizations

IEEE Letter of Acquisition (LOA)

Upon the receipt of the IEEE Conference Publication Form, IEEE Conference Publications Product Management will issue a Letter of Acquisition (LOA) with information regarding:

  • Material required (electronic files, print copies, etc.)
  • Estimate of the amount to be paid for acquisition of this material
  • Catalog numbers that must appear in your publication
  • Copyright information
  • Description of other documents

Abstracting and Indexing

Abstracting and Indexing, or secondary publishers, are independent third parties who are generally focused on a specific discipline and have independent editorial and business terms.

Currently, we are working to establish formal relationships, allowing us to provide direction for deeper coverage of IEEE content, particularly for conference proceedings. Each A&I partner makes its own editorial decision on what content it will index. IEEE cannot guarantee that an abstract or index entry will be included in any database.

The IEEE Conference Acquisition Program makes every reasonable attempt to ensure abstracts and index entries of content accepted into the program are included in databases provided by independent abstracting and indexing services, such as Elsevier's Ei Compendex, IET's Inspec and Thomson Reuters' Web of Science.

For Elseview’s EI Compendex, abstracts and index entries for article submission are only considered for inclusion if (1) your submission is available as a full-text article in PDF format (submissions converted from multimedia formats such as Microsoft PowerPoint do not constitute full-text article); and (2) your submission includes an author-submitted abstract. 

So that your authors may be made aware of this process and comply with the agreed-upon format, please make this information available to your authors via your website and Call for Papers.
