IEEE Insurance Summary for Organizational Units

IEEE maintains insurance at limits deemed appropriate by the IEEE Insurance Committee for IEEE’s current business activities. The insurance coverage summarized below is extended to cover IEEE Sections, Regions, Societies, Technical Councils, Chapters, Affinity Groups, Student Branches, and Sponsored and Co-Sponsored Conferences.

This summary is not intended to provide specific information on any particular coverage or insurance policy, but rather to provide information about the basic types of coverage IEEE currently maintains. Limits and deductibles are subject to change.

Bodily Injury and Property Damage

  • IEEE carries a US$1,000,000 Primary General Liability Policy that provides coverage in the event IEEE is found to be liable to third parties due to bodily injury (including death), personal injury, or damage to the property of others.
  • Host Liquor Liability coverage is included and applies to socials/receptions where alcohol is being served. 
  • Volunteers are included as additional insureds while acting within the scope of their duly authorized duties. (IEEE Bylaw I-300.2).

Excess Umbrella Liability

  • In addition to the Primary General Liability Policy, IEEE carries US$50,000,000 in Excess Umbrella Liability.

Rental Equipment

  • Insurance is provided to cover damage or theft to rented, leased or borrowed equipment, such as computers and audio-visual equipment (in the care, custody, and control of the organizational unit). 
  • Limits and deductibles vary depending on location (Within the U.S., US$500,000 limit; US$5,000 deductible. Outside the U.S., US$125,000 limit; US$1,000 deductible).
  • Thefts must be reported to local Police and Venue Security.

Comprehensive Business Crime

  • IEEE has US$5,000,000 in Business Crime coverage, which indemnifies the IEEE from loss due to fraudulent or dishonest acts committed by Staff or Volunteers. It is intended to cover loss by reason of forgery or alteration of checks, drafts, promissory notes, and the theft, disappearance, and destruction of money and securities. 
  • Please note there is a US$100,000 deductible.

Certificates of Insurance

  • Serve as evidence of insurance for the meeting venue and are available upon request. 
  • Certificates must be prepared by IEEE’s insurance broker.
  • Routine requests can normally be turned around within 2 business days. 
  • E-mail the IEEE Insurance Office with the following information: 
    • Name/Description of IEEE sponsored event (date, time)
    • Venue name and address (street, city, state) 
    • Venue contact information (phone, fax, e-mail) 
    • Be sure to include any insurance requirements outlined in the contract / agreement

Volunteer Global Travel Accident/Medical Plan (Effective 1 January 2001)

  • IEEE implemented a plan to provide IEEE Volunteers with medical coverage in the event a volunteer requires immediate medical attention while on authorized IEEE travel outside of the individual’s home country.
  • The Plan does not apply to travel to and from a conference (solely as an attendee)…the travel must be for authorized IEEE business.

  • Coverage will begin when the individual leaves his or her country of permanent residence on authorized IEEE business travel, and ends upon return to that country. 
  • The individual’s personal, employer group medical insurance, and / or national / government health plan (if maintained and applicable) is primary…if the individual does not have insurance coverage of this type, then the IEEE plan is primary.

Steps to Take in the Event an Incident Occurs

In the event that a loss (i.e. theft or damage to property) or incident, which may lead to a liability suit, occurs at an IEEE sponsored activity, it should be reported immediately to the IEEE Insurance Office. If you have any questions or need additional information, please e-mail the IEEE Insurance Office or call +1 732 562 5541.   

1) Provide medical help.  If there is a medical emergency, get immediate medical help for any injured person. 

2) Collect information and contact the proper authorities.  Obtain the contact information of anyone who witnessed the incident, and share it with the proper authorities.  Never discuss liability or fault.  A copy of any incident / authority report will be required to support an insurance claim.

3) Take a picture.  Pictures of possible defects or other property damage can sometimes make a big difference in adjusting a claim.  Take a picture or make a video of the place where the incident occurred.  Note possible contributing factors.

4) Protect the scene.  Secure the accident scene to prevent people from entering the area.  Redirect people away from affected walkways or parking areas.

5) Prevent further damage.  Make sure no further damage can take place.

6) Contact IEEE Headquarters immediately.  IEEE has the duty to report all claims to the insurance company in a timely manner.
