Q. What is Conference eXpress?
A. Conference eXpress is a suite of services offered by the IEEE Conference and Custom Publishing department. It includes:

  • Project management
  • Use of the Conference eXpress websites
    • Online instructions site with schedule, layout guides, submission instructions
    • Templates (Word and LaTeX)
    • File collection
    • Automated conversion to Xplore-compatible PDFs
    • Automated electronic proofing system for authors
    • Copyright collection (NEW! eCopyright)
  • Production of a CD-ROM and/or print proceedings
    • Cover design
    • Front and back matter layout
    • Electronic proofing
    • Organization and pagination of articles
  • Shipment of proceedings media to conference site, or mailing to a list of addresses
  • Delivery of an Xplore-compatible proceedings for direct input into IEEE Xplore®.

Q. What is PDF eXpress?
A. PDF eXpress is an IEEE-sponsored tool that will assist conference organizers and authors in complying with the latest IEEE Xplore® requirements for PDF files. Conferences that have completed the acquisitions process with the IEEE Conference Publications Program are eligible to participate. If your conference has signed up to use Conference eXpress, you do not need this tool.

Q. What is the difference between Conference eXpress and PDF eXpress?
A. Conference eXpress is a full publishing service (fee-paid) offered by the IEEE Conference and Custom Publishing Department. This service includes automated file conversion and collection for authors, use of the new eCopyright form, production of CD-ROM and/or print media, cover design, project management, and delivery of the proceedings to IEEE Xplore®. Conference eXpress also offers online peer review.

PDF eXpress is a "subset" of Conference eXpress. It is a free tool for IEEE conference authors to create Xplore-compatible files. PDF eXpress is not a file collection service, and may only be used by conferences who complete the IEEE acquisitions process into the Conference Publication Program. Copyright collection, proceedings production, and delivery to IEEE Xplore are among the responsibilities of each individual conference.

Conferences wanting either service must sign up to gain access for their authors. IEEE Conference Authors may use these services only if the conference they are submitting to have signed up to use them.

To request Conference eXpress services for your conference, email us at conferencepublishing@ieee.org. To sign up for PDF eXpress, indicate your interest during the Conference Publications Program acquisitions process, or email pdfsupport@ieee.org.

Q. How do I know if I should use Conference eXpress or PDF eXpress?
A. Conference eXpress users will be directed to http://www.ieee.org/ conferencepublishing. PDF eXpress users will be directed to http://www.ieee.org/portal/cms_docs/pubs/ confstandards/pdfexpress/pdf_eXpress_Site_Setup.jsp.

Q. What is the Conference ID?
A. The Conference ID allows authors to access a conference-specific set of instructions, and links your submissions to the proper conference. Both Conference eXpress and PDF eXpress require a Conference ID to create an account and access the sites.

Conference eXpress users may access author instructions by entering the Conference ID into the form on our main page. Authors also need the Conference ID to set up their Conference eXpress accounts, and for account login.

PDF eXpress users should go to http://www.ieee.org/portal/cms_docs/pubs/ confstandards/pdfexpress/pdf_eXpress_Site_Setup.jsp to set up their PDF eXpress accounts and use the service. Please note that PDF eXpress is not a file collection site: consult the conference's specific instructions on submitting Xplore-compatible manuscripts for publication.

Q. How do I get my Conference ID?
A. If your conference has signed up to use Conference eXpress or PDF eXpress, the Conference ID will be available either on the conference's main page, or in your Acceptance letter or other correspondence from the conference committee. Contact your conference organizer for further details. Please note that not every IEEE conference has a Conference ID.

Q. I have my Conference ID. Where do I begin?
A. Go to the IEEE Conference and Custom Publishing home page at http://www.ieee.org/conferencepublishing. Enter your Conference ID in the field provided and click Go. There you will find information on

  • Publication deadlines
  • Templates and formatting requirements
  • Using and rendering graphics and fonts
  • Filetypes accepted by Conference eXpress (if your native application format is not listed, contact your production editor, whose email address is at the bottom of the first page of the instructions, and appears as a link in the sidebar under Manuscript Preparation and Submission Help)
  • Instructions for completing the IEEE eCopyright form
  • Compressing your submission (LaTeX users MUST submit their electronic paper in an archive containing all image files plus a DVI)
  • Accessing Conference eXpress and creating your submission account
  • Submitting your file(s) for conversion
  • Checking your PDF proof
  • Approving or revising your proof
  • Getting help with layout and submission

Q. What is eCopyright?
A. eCopyright is the fastest and easiest way to transfer copyright to IEEE. It is available through Conference eXpress and Manuscript Central (online peer review system for transactions/journals).

The online eCopyright form replaces the old PDF and paper copies, but the text is exactly the same. The eCopyright form has options for US government (where no copyright may apply) and crown copyright (where copyright is maintained by the British, Canadian, or Australian government) authorship.

Regardless of who owns copyright, a form must be completed for every (final) submission to an IEEE conference.

Q. Why can't I submit a PDF to Conference eXpress?
A. Our department uses a fully electronic workflow, which requires that the PDFs used in production meet a certain set of specifications. There are many variables in creating PDFs, and our experience has taught us that it is more efficient, both for the authors and for us, to perform the conversion to PDF centrally. If you are not satisfied with the automated conversion, you can Request a Manual Conversion at no extra cost to the conference, and indicate what the problems you find in your proof.

The proofs generated by Conference eXpress are fully Xplore-compatible, and will be used in IEEE's archives to generate the permanent record.

Q. What does "Xplore-compatible" mean?
A. IEEE Xplore is the online delivery system for all IEEE publications. This system has specific requirements for PDFs. All documents in Xplore must meet these requirements before they are included in the archive. If a PDF is "Xplore-compatible", it means that the file meets the specs.

Q. I am not in the same time zone as the IEEE Operations Center (Eastern Standard/Daylight Time, United States). What time of the day do the deadlines actually occur?
A. If your conference uses Conference eXpress or PDF eXpress, deadlines are set as of 11:59pm (23:59), Apia, Samoa local time (Standard time zone: UTC/GMT-11 hours). This time assures that authors anywhere in the world may have the full day to submit.

However, it is highly recommended that you do not wait until the last minute! If you do, you run the risk of missing the deadline due to unforeseen circumstances, such as a bad upload or conversion. Due to heavy site use near and on the actual day of the deadline, the likelihood of difficulties with the process may increase. Manual conversion processing is also slower at the deadline because of increased requests.

If your conference does not use Conference eXpress or PDF eXpress, consult your conference's main contact or webpage for specific deadlines and instructions.

Q. I received a CD-ROM of the proceedings at the conference, but there are no page numbers on the papers to make references to them in other publications. How do I find out the proper reference?
A. As the printed version of the proceedings is still the document of record, proper references may be found when the proceedings is posted in IEEE Xplore. Some proceedings also include the Table of Contents from the book version on the CD-ROM, if available.

In the future, DOIs (Digital Object Identifiers) will serve as the reference. The IEEE Conference and Custom Publishing Department plans to offer early DOI assignments as a special benefit for users of the Conference eXpress service.

Q. Can I use my IEEE Web Account with Conference eXpress and/or PDF eXpress?
A. IEEE Web Accounts are not currently supported by Conference eXpress or PDF eXpress.
