Program Purpose
The program was created to help those within the IEEE Community lower the costs their event by saving money on the high cost of audio visual rental.
We purchase the projectors and recover their cost by re-deploying them throughout the year for a nominal fee. We can utilize the spare capacity, thus saving the IEEE. The intent is not to compete with industry, but to reduce costs and to help "socialize" this service and get conference organizers more familiar with the capabilities and benefits of this approach.
This program is not meant to generate revenue for any one group. The rental fee collected is utilized to cover the cost of administration of the program, as well as necessary repairs and purchase of any replacement parts (bulbs, cables, etc.) throughout the year.
A secondary mission of the program is to help create a standard projector type that is purchased throughout the IEEE. At present, there are no specific requirements on these machines and no common contracting for them. Standard projector types could help in the back up needs for projectors and replacement part inventories and costs. Currently, there are no standard projector definitions, so each organization has their own set of projectors, backup parts, and processes.
Is The Program Available To Me?
The program, run by IEEE Meeting Planning Services, is available to anyone who would like to participate in the program. All that you need to do is complete the Online Reservation Form and submit to get started. A service representative will contact you within 24 hours (Mon.-Fri.) to review your order to ensure all necessary parts/cables have been requested and finalize the reservation.
