Contract Review Process

• Negotiate contracts based on requirements
• Refer to the contract checklists, templates, Request for Proposal (RFP) forms for assistance with contract negotiations 
• Submit the contract transmittal form to the Strategic Sourcing Department at the Operations Center for review and the final approval process.  Services must not commence without an approved executed contract
• Forward contract to the appropriate major board staff representative

• Ensure compliance with IEEE terms and conditions
• Review Electronic Contract Transmittal Form for complete information and contract review.
• Determine if IEEE legal counsel review is necessary
• Execute contract.
• Upon receiving the countersigned contract, a copy will be forwarded to the Initiating unit 
• Maintain contractual records and documentation
• Provide guidance to contract intitiators
• Develope and implement procedures for contract initators
• Monitor compliance by employees with established procedures
• Ensure that signed contracts are communicated to all relevant parties
• Handle on going issues and change management

If there is an issue with contract content at any point in the review process the Initiator will be contacted. The process will begin again once the Initiator addresses the issue with an explanation. The metric is three to eight business days with a target of 5 business days.
